Most commercial buildings in central Arkansas need professional HVAC service at least twice a year: once before cooling season and once before heating season. That is the floor, not the ceiling. Restaurants, groceries, and any building running rooftop units hard through an Arkansas August usually do better on a quarterly visit, with filter changes happening more often than that. Here is how a commercial HVAC maintenance schedule shapes up in this part of the state.
The Baseline: Two Visits a Year, Four If You Run Hard
General industry practice is two planned maintenance visits per year on light commercial equipment, and quarterly service on units that carry a heavy load or serve a space you cannot afford to shut down. Move to quarterly if this describes your building:
- A commercial kitchen, where grease and airborne cooking oil reach the rooftop unit
- A grocery or c-store, where HVAC and refrigeration fight the same heat load
- Older rooftop units, or units past the midpoint of their expected service life
- Any space where a breakdown means lost product or a closed dining room
- Dusty environments: shops, warehouses, anywhere with dock doors standing open
Spring: Get Ready for Cooling Season
Book the spring visit in March or early April, before the first run of 90-degree days. Cooling season starts earlier and hangs on later here than in much of the country, and the units that fail in July are usually the ones nobody looked at in April. Spring work should cover condenser and evaporator coil condition, the condensate drain pan and line, blower wheel and belt, filter change, control and thermostat operation, and a technician checking electrical connections, amp draw, and system pressures.
Fall: Get Ready for Heating Season
Schedule the fall visit in October or early November. Arkansas winters swing hard: a mild week, then a run of nights in the twenties. Equipment that sat idle since March gets asked for full output overnight. The fall visit is where a licensed technician inspects the heat exchanger, burners, ignition, flue and venting, gas pressure, and safety controls, then verifies the changeover from cooling to heating actually works before you need it.
Filters: The Interval That Moves the Most
Filters will not follow a six-month rhythm. Standard pleated filters in an office or retail space are commonly changed every 30 to 90 days. In a commercial kitchen, a dusty shop, or a building with heavy foot traffic, monthly or sooner is normal. Pull and look at a filter every month, change it when it is loaded, and write the date on the frame. A restricted filter drives up run time, ices evaporator coils, and strains the blower motor. One caution: do not jump to a higher MERV rating on your own. Have a technician confirm the unit can handle the added static pressure.
Coils, Drains, and Belts
Coil cleaning is where a lot of capacity gets recovered. Condenser coils should be cleaned at least annually, and twice a year is reasonable on kitchen rooftops where grease film builds on the fins. Evaporator coils get checked at every visit and cleaned when they need it. A dirty coil makes the compressor work harder for less cooling, and you pay for it twice: in power and in equipment life.
Drains matter just as much in our humidity. A plugged condensate line backs up into the pan and then into the ceiling, and by the time anyone notices it is a drywall problem instead of an HVAC problem. Pans and lines should be cleared and treated at every visit, and checked more often through the summer.
Belts get inspected every visit for tension, alignment, and wear. Glazed, cracked, or frayed belts get replaced then, not later. A belt is cheap; the after-hours call it causes is not.
Refrigerant, Gas, and Electrical Are Technician-Only Work
Refrigerant is not a consumable. A system that is low is a system that is leaking, and topping it off without finding the leak only buys a few weeks. EPA rules require a certified technician to handle refrigerant, and leaks are meant to be found and repaired, not fed. Never use parts-store cans on commercial equipment.
The same line applies to gas-fired heat, heat exchangers, flue venting, electrical connections, contactors, and compressors. Those are licensed technician jobs, every time. A cracked heat exchanger or a loose high-voltage lug is not something to diagnose from a video, and the failure modes are carbon monoxide and fire.
What Your Staff Can Do in Between
- Keep three feet of clear space around condensers: no pallets, stock, or grease drums
- Look at filters monthly and change them when they are loaded
- Keep supply and return grilles unblocked by shelving and boxes
- Report water stains on ceiling tile near a unit right away
- Log new noises, odors, or a unit that runs but will not cool
- Keep a service record with dates for warranty claims
Put It on the Calendar
The buildings that stay out of trouble have spring and fall visits already on the calendar, filters on a standing interval, and a service record somebody keeps up.
